Do I need an HRIS?

(Probably less urgently than the software adverts would have you believe)

HR MADE SIMPLE  #2

Do I need an HRIS?

An HRIS (human resources information system) is software that holds your people data in one place: employee details, contracts, holiday, absence, performance and more. Sooner or later most growing businesses ask the question: do I need one?

The honest answer is: it depends on your size, your time and how messy things have become.

What an HRIS actually does:

•     Central records: Employee records, contracts and documents stored securely in one place.

•     Holiday and absence: Staff request time off, you approve it, and balances update automatically.

•     Workflows: Onboarding checklists, review reminders and reporting.

•     Security: Access controls and an audit trail, which help with GDPR.

When you can probably wait:

If you have a handful of employees, a well-organised spreadsheet and a secure shared folder can work perfectly well. Set up a simple tracker for holiday and absence, keep contracts in a locked folder, and review it every quarter. It's low-cost and easy to move away from later.

Signs it's time to look at one:

•     You're spending hours each month chasing holiday or absence information.

•     Records live in several places and nobody is sure which version is right.

•     You're hiring regularly and onboarding feels inconsistent.

•     You need reports, for example on turnover or sickness, and building them by hand is painful.

•     Your team is working across locations or remotely.

Questions to ask before you buy:

•     What problem am I trying to solve? Write it down first.

•     Is it priced per employee, and what happens to the cost as I grow?

•     Can it handle UK holiday, sickness and right-to-work needs?

•     Where is my data stored, and how is it protected?

•     Who will set it up, and who will keep it up to date?

THE BOTTOM LINE

Software won't fix a process that doesn't exist. Get the basics clear first, then choose a tool that fits how you work, not the other way round.
